Processing of Personal Data

Within the SWAP project, we aim to reach out to the public, share our outcomes and to be accessible to broad audience, while acting as sparingly as possible with your personal data. The following sections are listing what kind of data we process, on which legal basis, who is involved and what happens to the data.

1. Log files

a) Purpose
Each time our website is accessed, our system automatically collects data and information from the computer system of the accessing computer. The following data is collected:

  • Information about the browser type and version used
  • the operating system of the user
  • the Internet service provider of the user
  • the IP address of the user
  • date and time of access
  • Websites from which the user’s system accessed our website
  • Websites that are accessed by the user’s system via our website

The data is also stored in the log files of our system. This data is not stored together with other personal data of the user. The storage in log files is done to ensure the functionality of the website. In addition, we use the data to optimise the website and to ensure the security of the information technology systems we use.

b) Legal basis
The legal basis for processing this data is Article 6, pragraph 1, point “e” of the GDPR.

c) Recipient
This data is only being processed and temporarily stored within technical systems of our service provider: DesignBits GbR

d) Storage duration
The temporary storage of the IP address by the system is necessary to enable delivery of the website to the user’s computer. For this purpose, the IP address of the user must remain stored for the duration of the session. Storage beyond this is possible. In this case, the IP addresses of the users are deleted or alienated so that an assignment of the calling client is no longer possible.

2. Web analysis and Cookies

a) Purpose
Our SWAP project website uses the Open-Source-Software-Tool Matomo to analyse the behaviour of the website visitors. In this way we can identify potential issues like not found pages and also see which contents have been appreciated the most.
The data collected with Matomo technology is being processed on the servers of our service provider is following:

  • Two bytes of the IP address of the calling system of the user.
  • The website called up
  • The website from which the user accessed the website (referrer).
  • The sub-pages that are called up from the called-up website
  • The length of time spent on the website
  • The frequency with which the website is accessed

The software is set in such a way that the IP addresses are not stored completely, but 2 bytes of the IP address are masked (e.g.: 130.75.xxx.xxx). In this way, it is no longer possible to assign the shortened IP address to the calling computer. By anonymising the IP address, the users’ interest in the protection of their personal data is sufficiently taken into account.

b) Legal basis
The legal basis for processing this data is Article 6, pragraph 1, point “e” of the GDPR.

c) Recipient
This data is only being processed and temporarily stored within technical systems of our service provider: DesignBits GbR

d) Storage duration
The data is being stored until it is being processed into a statistical report, which means a maximum storage duration of 6 months.

3. E-mail contact and contact form

a) Purpose
Our website offers a contact form to allow visitors to get in touch with the SWAP project directly. It is also possible to establish contact via the project’s official e-mail address. The personal data that you provide to us by using these communication channels are only accepted with your consent and are exclusively for the purposes stated in your message. If you wish to withdraw your consent, please contact us under the official SWAP project e-mail address.
None of your data is being forwarded to third parties, unless this is explicitly stated in your message.

b) Legal basis
The legal basis for processing this data is the informed consent according to Article 6, pragraph 1, point “a” of the GDPR.

c) Recipient
This data is only being processed by persons, who are officially working on the SWAP project.

d) Storage duration
The data is being stored until you withdraw your consent to process and store your message. Otherwise, the data is being deleted within 6 months after the official project end.

4. Instagram and Facebook

The SWAP project has a social media presence on Facebook and the Instagram platform, both operated by Facebook Ireland Limited, 4 Grand Canal Square, Dublin 2, Ireland.

Our website contains buttons that forward to our Facebook and Instagram channels. After clicking on the corresponding button, you will be redirected to the Facebook, respectively Instagram page. Only then your user information will be transferred to Instagram and Facebook.

Exeption on Storage durations: The only exceptions to the storage durations stated above are data that we are legally obligated to forward or that we are obligated to retain under tax and commercial law.
In addition, in accordance with archival regulations, documents must be offered to the State Archives before they are deleted. The latter decides on the takeover of documents.

Your Rights

Users of the SWAP project website have the following rights:

  • You have the right to obtain information from the TU Hamburg about the data stored about you and/or to have incorrectly stored data corrected.
  • You also have the right to request deletion or restriction of processing or the right to object to processing.
  • In addition, in the case where the legal basis for the processing is your consent, you have the right to withdraw your consent at any time. The lawfulness of the processing carried out on the basis of the consent until the revocation remains unaffected. In this case, please contact us over our SWAP Project’s official E-mail address.
  • You have the right to lodge a complaint with a supervisory authority if you believe that the processing of personal data concerning you is in breach of the law.

    You have the right to object at any time, on the grounds relating to your particular situation, to the processing of data relating to you which is carried out on the basis of Art. 6 (1) (e) GDPR – data processing in the public interest.
